Time Entries

How to log time against work orders using clock in/out and manual time entries in Simple Time.

Time Entries

Time entries are how your team records the hours they spend on each job. Accurate time tracking ensures correct payroll, helps with client billing, and gives you visibility into how long jobs actually take.

Logging Time

There are two main ways to log time against a work order:

Clock In and Out

Team members can clock in when they start working on a job and clock out when they finish. This records the exact start and end time automatically. It is the easiest way to capture time in the field.

To clock in:

  1. Open the assigned work order.
  2. Click Clock In.
  3. When finished, click Clock Out.

The time entry is created automatically with the recorded duration.

Manual Time Entries

If a team member forgets to clock in or needs to adjust their hours, time can be entered manually. Manual entries require a start time, end time, and the work order they apply to.

Viewing Time Entries

Each work order shows a list of all time entries logged against it. You can see who worked on the job, when they worked, and how long each session lasted.

Managers can view time entries for all team members across all work orders. Workers can view their own time entries.

Editing and Deleting

Managers can edit or delete time entries if corrections are needed. This is useful for fixing mistakes like forgetting to clock out or logging time against the wrong work order.

How Time Entries Connect to Timesheets

All time entries logged against work orders feed into the timesheets section, where you can review weekly summaries and approve hours for payroll. See Timesheets for more details.
