How to permanently lock approved time entries after employees have been paid.

After you have paid your employees, use Confirm Payroll to permanently lock their approved time entries. This prevents any future edits and gives you a clean audit trail of what was paid.

This action cannot be undone

Once payroll is confirmed, those time entries are permanently locked. No one — including the account owner — can edit them. Only confirm payroll after you are certain the entries are correct and payment has been made.

When to Confirm Payroll

Confirm payroll after you have:

  1. Approved time sheets for the pay period.
  2. Exported or entered the hours into your payroll system (e.g., QuickBooks, Gusto, or manual checks).
  3. Verified that employees have been paid.

How to Confirm

  1. Navigate to Approve Time Sheets in the sidebar.
  2. Scroll down to the Confirm Payroll section. This section only appears when there are approved entries that have not yet been confirmed.
  3. Set the "Confirm entries up to" date — typically the last day of the pay period you just paid.
  4. Check the box next to each employee whose payroll you have completed. Use Select All if you paid everyone.
  5. Click Confirm Payroll.

All approved time entries for the selected employees up to that date will be permanently locked.

What Happens After Confirmation

  • Confirmed entries show a lock icon in the weekly grid.
  • No one can edit confirmed entries — they are a permanent record.
  • The employee can still view their confirmed hours, but the cells are fully disabled.

Best Practices

  • Always approve before confirming. Only approved entries can be confirmed. If you have unapproved entries, approve them first.
  • Confirm promptly after paying. This prevents accidental edits to entries that have already been paid out.
  • Double-check before confirming. Review the approved hours one last time. Once confirmed, the only way to correct an error is to create a new adjustment entry in the next pay period.

Tip

If you discover an error after confirming payroll, you cannot modify those entries. Instead, add a corrective time entry in the current period and note it for your payroll records.
