How to track email communications and internal notes for clients in Simple Time.

Communications

Keeping a record of client communications helps your team stay informed and provides context for every job. Simple Time lets you log emails and add internal notes to each client profile.

Email Communication Log

Simple Time tracks email communications associated with your clients. This gives you a timeline of correspondence so you can quickly reference what was discussed, when, and by whom.

The communication log shows:

  • Date and time of each communication
  • Subject and content summary
  • Who sent or received the message

Internal Notes

In addition to email logs, you can add internal notes to a client profile. Notes are visible only to your team and are useful for recording things like:

  • Client preferences or special requirements
  • Follow-up reminders
  • Important details about ongoing jobs
  • Feedback or issues raised by the client

Adding a Note

  1. Open the client profile.
  2. Scroll to the Notes or Communications section.
  3. Click Add Note.
  4. Enter your note and save.

Notes are timestamped and attributed to the team member who created them, so you always know who added the information and when.

Why Track Communications

Having a central place for client communications means your team does not have to dig through email inboxes or rely on memory. Anyone on the team can open a client profile and get up to speed on the relationship quickly.
