Simple Time lets you create professional quotes and estimates for your clients. Once a quote is approved, you can convert it into a work order with a single click, keeping your workflow seamless from estimate to job completion.

Creating a Quote

To create a new quote:

  1. Go to Quotes from the main navigation.
  2. Click New Quote.
  3. Select the client you are quoting for.
  4. Add line items for the services, materials, and labor you plan to provide.
  5. Set an expiry date if the quote is only valid for a limited time.
  6. Save the quote.

Each line item includes a description, quantity, and unit price. Simple Time calculates the totals automatically.

Sending a Quote to a Client

Once your quote is ready, you can send it to the client via email. The client receives a professional summary with a link to view the full quote online. From there, they can review the details and approve or request changes.

Managing Quotes

From the Quotes dashboard, you can see all your quotes and their current status:

  • Draft — Still being prepared, not yet sent.
  • Sent — The quote has been sent to the client.
  • Approved — The client has accepted the quote.
  • Declined — The client did not accept the quote.
  • Expired — The quote passed its expiry date without a response.

Converting a Quote to a Work Order

When a client approves a quote, you can convert it directly into a work order:

  1. Open the approved quote.
  2. Click Convert to Work Order.
  3. Review the work order details — line items, client, and scheduling.
  4. Save the work order and assign it to your team.

This saves you from re-entering information and ensures the work order matches exactly what was quoted.

Editing and Duplicating Quotes

You can edit a quote at any time before it is approved. If you need to create a similar quote for another client or project, use the Duplicate option to copy an existing quote and adjust the details.
